How can I present a work at the CongressAgora?
How many modalities are there?

In the CongressAgora, within the I International Agora on Education, Research and Employment, the works can be presented both in the PRESENTIAL and VIRTUAL submodalities.

 

In the PRESENTIAL submodality, it is possible to present oral or poster communications, while in the VIRTUAL modality the communications have to be presented in video or audio presentations as well as in poster format.

 

In all cases the submission of an ABSTRACT before the corresponding deadline is necessary; ans later on, the definitive extended version of the work will be sent, following the publication rules described in this section.

 

The submission of the abstracts and communications in any of the modalities must be done using the submission system set up at the signing-up and registration through the platform  EasyChair.

 

In all cases, the oficial languages will be spanish, English and the portuguese. However, at least the title, al the abstract and the keywords much appear mandatorily in spanish or portuguese, and english.

 

Firstly, you have to choose the submodality, 1. FACE-TO-FACE or 2. VIRTUAL, that is more adequate for you, and afterwards you will have the possibility of choosing one of the different exposition options available to submit your works: A. Oral or B. Poster for the submodality face-to face, and B. Poster, C. Video or D. Presentation with audio, for the virtual submodality.

 

The acceptance of oral presentation of the works is reserved to the organization, based on the feed back of the comitees, In any case, the organization would communicate a new alternative that the author/authors could accept or decline.

 

I wish to SUBMIT a work for oral exposition to the CongressAgora, what instructions should I follow?

The option of submitting a communications for ORAL presentation, by its author or authors is only possible for the FACE-TO-FACE submodality. 

 

ATTENTION: The number of oral communications is limited, so we advice you to send the works intended to be included in this modality as soon as possible, since, once the maximun number of works to be considered in this modality is reached, only the works under the option B. POSTER. The communications previously submitting the abstract will have preference.

1. Abstract

  • Any proposal of communication must start by the submission of an ABSTRACT that must be submitted in formats DOCX (Microsoft Word) and PDF, using the DOCX template available in the section documents “instructions” and “templates” as Template 1.
  • Once the abstract, has been submitted and its acceptance has been communicated by the corresponding comitee, the submission of the complete written communication will be made with the definitive poster, or only the poster, before the deadline defined in key dates.

2. Complete written communication

  • All the complete communications must be submitted as DOCX (Microsoft Word) and PDF using the DOCX template available in the section documents “instructions” and “templates” as Template 2.
  • The maximun extension will be 12 A4 pages. 
  • Once the work has been submitted, no modification will be allowed until the evaluation of the corresponding committees (Scientific-Reviewing). After this evaluation, and only if changes are suggested, the authors will modify their work according to the suggestions made by the committees, exclusively. Afterwards, they will send the modified work again before the deadline announced in the section key dates.

3. Oral presentation

  • The time planned for the oral presentation of each communication is 10 minutes, with 5 additional minutes reserved for questions and discussion.
  • Although the format of the oral presentation is free, we recommend you to use the PPTX template available at the section documents “instructions” and “templates” as Template 3.
  • We ask each author to contact the chairman/woman of his/her session (the contact data are at the detailed programme) before the session, to solve any question regarding the oral expositions and to receive specific indications. The authors must give the presentation file before 05/09/2019 through the corresponding virtual site.
  • Each room assigned for oral presentations will be provided of a PC compatible with a video projector. It is recommended to bring the presentation in a format as much independent as possible from device/version used: PDF, PowerPoint or OpenOffice (it is usually recommended to embed the figures, videos, etc.). If you want to use any other audiovisual media, such as a projecter of transparence slides you must indicate it to the event organization. 
  • The authors will be informed about the reference number of their communication, the session and the time scheduled. If, due to personal circumstances, the author had any problem with the date or hour assigned, he/she should contact the organization as soon as possible and they will look for a solution. 

4. Registration of the authors

  • At least, the author making the presentation must be registered obligatorily in the modality CompletAgorato receive the corresponding certificate.
  • At least half of the authors (rounding to the upper integer number) of the poster communication must be registered in any of the modalities of the Agora (AsistAgora or CompletAgora) to get benefits regarding the publication in books and journals, including the book of abstracts (if they have also submitted a written communication), derived from the event, and also to receive the corresponding certificates.
  • The maximum number of authors of a poster communication will be 4. Exceptionally, 7 authors can be admitted, but that will involve an extra cost in the registration, as it is described in the section signing-up and registration.

  • A poster template is also available in this section; in the template you will see that it is necessary to include the work título the names of the authors and their affiliations. It is recommended to include the sections suggested at the reference “How to make posters for competitions”: head (title, authors, afilliations), introductionmethodologymethodology, resultsconclusions and bibliographic references. Using this template is recommended.
  • The posters must fit an A1 surface at maximum. The use of big size letters is recommended in order to guarantee its reading at a distance of 80 cm. 
  • • Once the work has been submitted, no modification will be allowed until the evaluation of the corresponding committees (Scientific-Reviewing). After this evaluation, and only if changes are suggested, the authors will modify their work according to the suggestions made by the committees, exclusively. Afterwards, they will send the modified work again before the deadline announced in the section key dates.

4. Poster exhibition

  • The posters will be placed in an area, specially set up for this task and suitably indicated. 
  • The poster transfer to the event will be under the resposability of the autor/authors, who will place them on the areas scheduled. At the end of each session, the authors can remove their posters; the organization of the event will not assume the return of the posters.
  • The attachment of the posters will be made by using adhesive stripts that will be available at the event. 
  • There is an EXTRA service for printing and placing the poster if requested at the registration step (check the price in the section signing-up and registration). In this case, the maximun deadlines regarding the reception of the definitive poster must be satisfied. The organizing comitee will not be responsable in those cases in which the poster is received late or in bad state. The definitive PDF must be received at minimun 15 days before the beginning of the I Agora.
  • We ask each author to contact the chairman/woman of his/her session (the contact data are at the detailed programme) before the session, to solve any question regarding the attachment and discussion of the poster and to receive specific indications.

Unfortunately I can not attend, physically, the l CongressAgora, so I will choose the VIRTUAL modality, how can I submit my work?

If you can not finally attend the I International Agora on Education, Research and Employment, a situation we would regret, you can take the VIRTUAL modality, and submit your work through one of the following options: B. Poster, C. Presentation as video format or B. Presentation with audio.

 

All these options are compatible with the submission of a complete written communication, with the associated benefits.

  • In this presentation option is recommendable to add the EXTRA service for printing and attachment of the poster, set up by the organization.   • If you do not select this modality, you must respect the deadlines corresponding to the printed definitive posters, and the organizing committee will decline any responsability if the delivery of the poster is made after this deadline ot the state of the received poster is not adequate.

Basic instructions for the submission of abstracts and complete works for their virtual presentation as video or as presentation with audio

 

VIRTUAL modality.

This modality allows the submission of both the written complete work (as DOCX and PDF) and a visual presentation (to compensate the physical absence in the event); this can be done by using a presentation with a sequence of slides with audio or by using a video, in which the author makes the presentation. 

 

ATTENTION: These exposition options are compatible with the submission of a written communication in the format described below. If it is the case, the communication will appear in the book of abstracs of the CongressAgora and will have the option of being published in the same options than the written communications for oral exposition. If the written communication is not submitted and only the video with audio is sent, the publication will be limited to the book of abstracts.

3. Submission of a video or presentation with audio

  • The format of the visual presentation and/or video is free, although there are restrictions concerning the size and duration. It can be made as a narration by the author or by adding the voice on the images or slides to be shown. It is advised to use mp4 as the final format.
  • If you have any problem uploading files due to limitations in the platform used in the event, please contact the organization to manage the submission through platforms of big size files. 
  • In case of also choosing written complete communications, the authors must send firstly the complete written work (as DOCX and PDF) through the corresponding site.
  • Once the work has been accepted (summary and/or written communication), if needed, the authors will receive specific instructions to submit the slide presentation with audio (formats pptx, ppsx or similar) and/or video (mp4), with a maximum duration of 12 minutes.
  • Once the work has been submitted, no modification will be allowed until the evaluation of the corresponding committees (Scientific-Reviewing). After this evaluation, and only if changes are suggested, the authors will modify their work according to the suggestions made by the committees, exclusively. Afterwards, they will send the modified work again before the deadline announced in the section key dates.

4. Exposition/presentation of the work

  • This modality does not require the physical presence of the authors for the exposition of the work; the video/presentation of the work submitted by the authors will be used as exposition.
  • The authors will be informed about the reference number of their work, the session and the time at which their work will be exposed.

  • At least, the author presenting the poster must be registered obligatorily in the modality CompletAgorato receive the corresponding certificate.

Are there LIMITS about the acceptance of a work?

Each registered author can send a maximun of two works to the CongressAgora, individually or including more authors, per inscription, and at any of the allowed modalities (oral communication, poster and/or video/presentation with audio). A maximun of four authors can be included in each communication. Under specific circumstances, a maximun of 7 authors can be considered, as explained below.

 

The submission of additional works as well as the increase of the maximun number of authors per communication with respect to the stablished limits as extra cost on the registration price.

 

Being registered in the Agora (modalities AsistAgora or CompletAgora) is necessary to include your work in the book of abstracts and on the subsequent derived publications (books, journals,…). In particular, at least half of the authors signing the work must be registered (in the case of odd author number, round off to the higher integer number).

 

The names of all the authors will appear in the certificates of presentation of the works, although the certificates will only be issued to the authors registered in any of the modalities of the Agora.

 

The authors are responsible to say in their communications. They must secure and demonstrate the authorship of its content.

What DEADLINES should I consider regarding the submission of my work?

The following DEADLINES must be met for the different phases of the process of sending and accepting a job:

How is the REVISION process made?
Will I be informed about the progress of the revision of my work?

All the works presented will be subjected to a PEER REVISION  carried out by the reviewer comitee. The comitee will evaluate their suitability following a rubric, and will determine if they have the minimal punctuation to be accepted. The works can be provisionally graded  as:

 

  1. Works provisionally accepted do not usually require any further modification regarding their content, although in those cases in which the reviewers make any recommendation, the organization will ask the authors to modify their works accordingly.

  2. On the other hand, the works marked as “accepted with conditions” require, before their definitive acceptance, some suggested modifications, as described in the letter of recommendations made by the reviewers.

  3. The works marked as “accepted” do not require any further modification.

  4. The work marked as “rejected” will not be admited at their present state, but the autor/authors, will have the chance of improving it for further submission. The report made by the reviewers will be taken into account for improving the work in relation to the new submission.

 

After the initial reviewing process, the authors will be informed by e-mail about the revision of their work, both in the phase of the abstract submission as well as in the case of the complete work.

 

The submission will be completed when the authors submit the complete versión of their work before 30/06/2019, with the modifications suggested by the reviewers. After this date NO MODIFICATION of the works submitted will be admitted.

 

The  best marked works will be recommended for its publication in scientific journals indexed in international databases; the Agora organization is in these moments managing the collaboration of several journals. The Editorial board of these journals will finally decide about the publication of the works, based on the modifications made according to the revisions suggested by the reviewer committee.

 

The Organization of the Agora is also dealing with come Editorials in the publication of a book collecting some of the experiences presented to the CongressAgora.

What about if I have made the signing-up and paid the registration and after that, my work is rejected?

If after the reviewing process, your work has been rejected, the complete refund of your payment would be made.

 

If your work has been rejected in the selected modality and afterwards, you request another modality or decide not to present the work, then, an extra charge will be apply per refund, applying the cancelation rules described in the section signing-up and registration.

Are there templates to be taken as reference?

The authors can use templates to adapt their work to the CongressAgora participation submodality  and the exposition option they chose.
